When the session ends, many patients ask at reception about what they saw on the treatment table: the cream, the kinesiology tape, the ankle support or the exercise ball. Selling it right there is convenient for them and is income for the clinic.
The problem isn't selling it. It's keeping track: how much was sold, how much is left in the cupboard and when to reorder, without a notebook next to the till.
Why reception sales slip through
The session is charged at the till; the product, somewhere else. If recording a sale means opening another sheet or writing in a notebook, with a full calendar it doesn't get recorded, or it's added to the session and at the end of the month nobody knows what was sold.
The solution is for selling a product to take the same effort as charging a session: one more line on the same receipt.
The product, on the same receipt as the session
In ClaudIA products live inside the till. Each one has its record: name, brand, family, sale price, purchase price, VAT and barcode. At reception you search by name or scan the barcode, and the product goes onto the receipt next to the session, with its price and its VAT.
When you charge, its stock goes down on its own, and comes back if the whole receipt is refunded. If the system thinks there are fewer units than are being sold, the till warns you but the sale goes through: the product is already in the patient's hand, and it's flagged to be checked with a stock count.
Stock, with its reasons
Stock is the sum of every movement, and each movement is recorded with its reason.
| What happens | What you do | What's recorded |
|---|---|---|
| The order arrives | Press «Stock in» and type the units | A stock-in, with who recorded it |
| It's sold at the till | Nothing: the charge does it | A sale, with its receipt |
| The whole receipt is refunded | Nothing: the refund does it | A return, with its document |
| The cupboard is counted | Press «Count» and type what's there | An adjustment for the difference |
Ordering in time, and who touches what
Each product has a minimum. When it drops below it, the list flags it as «Below minimum» and the summary at the top says how many there are, so the order goes out before someone asks for something that's already gone. Each product's history shows every movement with its date and its receipt.
Anyone on the team can record stock-ins and counts. The catalogue and prices can only be changed by whoever runs the clinic.
Orders to the supplier are still placed as before, with the list of what's below minimum in front of you. And the WhatsApp and voice assistant focuses on appointments: products are sold at the till.
Questions clinics ask
Do I need separate stock software to sell at reception? With ClaudIA, no. Products live inside the same till you charge sessions with: they have their catalogue, go onto the receipt and their stock goes down on its own when you charge. They're switched on with the till, from the dashboard.
Can a barcode scanner be used? Yes. You scan the product and it goes straight onto the receipt, with its price and its VAT. Without a scanner, you search by name or by brand.
What happens if something the system thinks is out of stock is sold? The sale goes through anyway. The till warns that fewer units were recorded and the product is flagged to be checked with a stock count.
Can the team change prices? No. The team records stock-ins and counts; the catalogue and prices can only be changed by whoever runs the clinic.
