At a physiotherapy clinic the afternoons fill up before the mornings: that's when patients finish work. That's why many clinics share out the time slots among the team and alternate them every week, so nobody is always stuck with the last shift. It's fair, but it has a hidden cost: someone has to redo the rota every Monday.
With an assistant that books over WhatsApp at any hour, that rota is what the patient sees and books. And in physiotherapy there's one more detail: a rehabilitation is ten sessions, and if the rota for week three is wrong, the whole series falls out of place.
How it's set up, just once
First, the shifts with their hours: for example, «Morning», Monday to Friday from 8:00 to 14:00, and «Afternoon», from 14:00 to 21:00. A day that isn't ticked is a day that shift doesn't work.
Then, the cycle: every how many weeks it repeats and which week is the current one. You don't need to know when the rotation started; it's enough to say who's on mornings this week.
Finally, who rotates and which shift each person does each week. Whoever isn't in the rotation keeps their usual hours. Before saving you see the next eight weeks, person by person: it's exactly what the assistant will offer.
What changes on its own every week
| Rota redone by hand | Rotating shifts | |
|---|---|---|
| The sessions the assistant offers | Those of whatever rota was entered, even last week's | Only the hours of each physiotherapist's shift that week |
| A series of ten sessions | Every date has to be checked against the rota | Each session falls within that week's shift |
| A shift swap between colleagues | The rota is redone and undone the next day | A one-day change, with its date |
| Holidays and absences | One more exception to remember | They take priority over the shift, without touching anything |
What isn't lost
Each physiotherapist's weekly hours stay saved. While shifts are switched on, the shift rules; if one day they're switched off, everyone goes back to their usual hours without setting anything up. Rooms and equipment keep working the same way: the shift decides who's in, the room decides where.
ClaudIA reads the shifts when offering every session, at eleven at night too, and in the week nobody checked the rota. The clinic's rules live inside the calendar, not in the memory of whoever opens up in the morning.
Questions clinics ask
How do I organise physiotherapists' morning and afternoon shifts without changing the rota every week? With rotating shifts: you create the shifts once, say every how many weeks the cycle repeats and which shift each physiotherapist does each week. The calendar and the sessions the assistant offers change on their own.
What happens to a series of sessions if the physiotherapist changes shift? Each session is offered within the shift of its week, so the series is spread across mornings and afternoons as it falls, without checking dates by hand.
Do holidays take priority over the shift? Yes. An absence always takes priority over that week's shift, so nobody gets sessions on a day they're not in.
