What it does, and what it never does
What exactly does ClaudIA do in my clinic?
It answers the clinic's WhatsApp at any hour, tells patients about your treatments and prices, books sessions in each physiotherapist's calendar —with their room—, sends the reminders and collects the confirmation, keeps count of session packs and alerts your team when someone writes about something that can't wait. In Spain it also answers the phone. And anything that calls for professional judgement reaches your team exactly as it was written.
Does ClaudIA assess what a patient tells it?
Never. It's the line the product is built on, not a setting that can be changed. When someone describes a complaint, ClaudIA records it in the patient's own words, leaves it on their record for your team to read and offers the first available appointment. It doesn't say what it might be, doesn't suggest what to do and doesn't recommend exercises. If the message sounds like something that can't wait, it alerts your team straight away, and that's all: the decision is yours.
Does it keep my patients' clinical records?
No. ClaudIA handles the calendar, the conversation and the contact record: name, phone, their sessions, their packs and the practical notes your team writes («prefers first thing», «needs an accessible table»). The clinical record lives in your healthcare software, which is where it belongs. If a patient mentions something clinical in the chat, it stays in the conversation as what it is —a message— and your team decides what to do with it.
What if someone writes in with severe pain?
ClaudIA looks for the first available appointment of the day, moves them up the waiting list and alerts your team straight away with what the patient said, in their own words. It doesn't assess anything or tell the patient what's wrong. If the message describes something beyond what a physiotherapy clinic treats, it tells them to go to an emergency service — that isn't assessing, it's not leaving them alone with an unanswered message.
If someone on the team replies, does ClaudIA keep writing?
No. As soon as someone at the clinic replies in a chat —from the dashboard or from WhatsApp itself—, ClaudIA pauses in that conversation and goes quiet: if it kept writing at the same time, the patient would hear two voices and trust neither. And it doesn't come back on its own: that conversation belongs to your team until someone presses «Reactivate AI». Meanwhile it stays flagged in the dashboard so nobody misses it, and all the others carry on being answered as normal.
Day to day
Will it double-book sessions in my calendar?
No, and it's the first question to ask any assistant. The underlying problem is that a session doesn't always last the same: a first assessment doesn't take as long as a follow-up session. In ClaudIA every treatment has its own durations and the assistant asks which one before booking, instead of getting it right by chance. Each physiotherapist has their own calendar and treatments, and the ROOM is booked with the session: two people never go into the same room at the same time. There's also a checker that reviews the sessions every day and warns you if any is shorter than that treatment needs. All you have to do is write down the real times — half an hour, once.
How does it handle session packs?
Each pack has its sessions and, if you want, an expiry date. ClaudIA knows how many are left and says so when it matters: when booking, when confirming and when the patient asks. When the last one is used, it offers the renewal in the same conversation, without anyone having to go through a list. And if the pack is about to expire, it warns beforehand, not afterwards. In the dashboard you see every active pack, how many sessions it has left and who is running low.
Some patients come twice a week. Are they booked one by one?
There's no need. You create the series in one go —«Tuesdays and Thursdays at 10:00, five weeks»— with the same therapist and, if you like, the same room. They're all in the calendar from day one. If one needs moving, only that one moves; if the rest need cancelling, the rest are cancelled. And ClaudIA tells the patient about every change.
We run Pilates classes. Can they be booked through ClaudIA?
Yes. In the treatment you set how many people fit and, in your timetable, which days and times the class runs. ClaudIA offers those times over WhatsApp, by phone and on your booking page, says how many places are left and, when it's full, says so: the database won't let one person too many in. Each participant has their own booking, reminder and cancellation, and the monthly fee works as a session pack that expires after a month.
I work with insurers. Does ClaudIA know that?
It knows what you tell it. In the dashboard you write which insurers you work with and what you want said about each one: whether a referral is needed, whether some paperwork has to be brought, whether the first contact is different. ClaudIA repeats that and nothing else — it never makes up a cover or says whether a particular patient's sessions will be covered, because that's decided by the insurer, not by us.
Does it help stop patients missing their sessions?
It helps make sure they tell you. The reminder goes out as far ahead as you choose and asks for confirmation, so your calendar tells you who is definitely coming and who hasn't replied. When someone cancels, the slot is offered automatically to whoever is on the waiting list, and anyone who wrote in with severe pain goes first. And in the dashboard you see who often misses without warning, which almost nobody knows and which decides a lot.
Getting started and pricing
How long does it take to get up and running?
The same day. You connect your usual WhatsApp with a QR code —without changing number—, set up your treatments, packs, therapists, rooms and opening hours with an assistant that takes you step by step, and ClaudIA starts answering. Your patients are imported from a CSV in ten minutes.
How much does it cost?
A flat monthly fee, based on the size of your clinic: the pricing page shows the one for your country and, if yours isn't published yet, we'll prepare it for you. Everything included: unlimited conversations, unlimited reminders, no setup fee and no contract. And the first month is free, so you can try it with your own treatments.
