Sessions that go in a series: booking them in one go and moving them without undoing the rest

Updated 2026-07-31 · 3 min read

A physiotherapy clinic's working pattern isn't the one-off appointment: it's the series. Two sessions a week for four or five weeks, with the same person and ideally at the same time. And yet almost every calendar is designed for booking one at a time.

The difference isn't about convenience, it's about results: a series booked at the start sees fewer drop-outs than ten appointments requested one by one.

Why a series holds up better

Because it stops being a decision taken ten times. When «Tuesday at 17:00» is the patient's slot for five weeks, the session becomes part of their routine. When every week they have to write to ask for the next one, every week there's a chance not to write.

For the clinic there's an added effect: next month's calendar is visible with real notice, and that changes how the team is planned.

What you need to be able to do when one falls through

This is where almost every system fails. Cancelling «the series» when what the patient wants is to move ONE session is the quickest way to undo a month of calendar.

The four operations a clinic needs, and which are worth checking before choosing a tool:

OperationWhat has to happen
Move one sessionOnly that one changes; the rest stay where they are
Cancel one sessionIt goes back to the pack if it came from one; the rest are untouched
Cancel from here onwardsThe pending ones are cancelled, not the ones already done
Change professionalPossible for one session or for all the remaining ones

The series and the pack are different things

It's best not to mix them up. The pack is how many sessions they've paid for; the series is when they're going to come. A patient can have a pack of ten and a series of six: they'll have four left to book.

When the two concepts are mixed in the same box, the typical mismatches appear: sessions charged twice, or series that use up the pack when they're booked instead of when they're done.

How ClaudIA does it

Series are booked in full, with their day, their time and their professional, and can be moved or cancelled one at a time or from a given date onwards. Each session has its own reminder.

And if the sessions come from a pack, the pack is deducted when each session is done — not when the series is booked. Booking uses nothing up.

Questions clinics ask

Can a series be set up with different times each week? Yes. The usual thing is to repeat the day and time, but each session can go wherever suits.

If the patient cancels a session in the series, do they lose the session from their pack? No. The pack is deducted when the session is done; a cancelled one uses nothing up.

Can the assistant set up a series over WhatsApp? It can book the sessions the clinic has decided on and confirm the times. The treatment plan —how many and how often— is decided by the physiotherapist, not the assistant.

What happens if the professional goes off sick halfway through a series? The absence is marked and the affected sessions show up in the dashboard to be reassigned or moved, instead of being discovered on the day of the session.
