How to choose management software for a physiotherapy clinic

Updated 2026-08-29 · 2 min read

Almost every comparison you'll find is written by someone selling one of the products, this one included. So instead of a list of names, here are the criteria and the order in which it's worth looking at them.

First: what problem do you have

A clinic that can't keep up with messages isn't the same as one that doesn't know how much it bills. The first needs patient handling and a calendar; the second, reports and a till. Buying the longest feature list is how you end up paying for what you don't use.

Second: clinical and management, kept separate

Clinical history, assessments and progress notes are a category of software with their own requirements. Patient handling, calendar, packs, payments and reports are another. A product that claims to do everything excellently usually does one half well and the other half by halves.

Third: the three questions that rule products out

How does it avoid overlapping sessions when a treatment takes a different time depending on the case? How does it connect to WhatsApp, and is there a 24-hour window? Can I export my data, and is there a minimum term?

With those three, in five minutes, half the list is gone.

Fourth: what you see in the demo and what you don't

In the demo you see the nice screen. What you need to ask for is that they do it with YOUR treatments and YOUR durations inside, not the sample ones. That's where half of products fall down.

And what shouldn't carry weight

The number of features, the client logos on the home page and the fact that it's the one the clinic next door uses. None of the three tells you whether it will work for you.

Questions clinics ask

Does it need to be specific to physiotherapy? It helps a lot with the calendar: sessions of varying length, rooms and packs. A generic appointments product falls short there.

How long does it take to change program? As long as the patient import takes, which is usually a CSV file. The rest is set-up, not migration.

Is it worth having two products? Many clinics do: the clinical one for clinical matters and another for management and patient handling. What has to be avoided is having two live calendars.
