Instagram for a physiotherapy clinic: turning every direct message into a session

Updated 2026-10-03 · 2 min read

Instagram has become the shop window of many clinics: the team, the premises, the Pilates classes, a posture tip for the office. And whoever sees it writes by direct message, usually at night, to ask about price and availability.

The problem isn't getting messages. It's replying in time: a direct message answered the next day usually arrives too late.

What to post on a clinic's account

What works best for a healthcare clinic is showing how you work: who the team is, what a first assessment is like, what the premises are, when the classes are. It builds trust and doesn't promise results.

What's best avoided is the same as in any healthcare communication: promising that a treatment cures something, posting photos of patients without their signed consent or giving generic clinical advice as if it suited everyone.

Making sure every direct message gets a reply

People who write on Instagram usually ask three things: how much it costs, whether there's a slot this week and where the clinic is. All three can be answered on the spot if whoever replies has the catalogue and the real calendar in front of them.

Before booking the session it's worth asking for a contact phone number: it avoids duplicate records and lets you send the reminder by WhatsApp.

How ClaudIA does it

ClaudIA handles direct messages on the clinic's Instagram account just like WhatsApp: in the formal register you've chosen, giving information on the treatments and prices you've set up and offering genuinely free slots. Before booking it asks for the phone number and saves the Instagram username in the patient's record.

With clinical matters it keeps the same line as on every other channel: it notes the reason in the patient's own words, doesn't assess it, and if a red flag appears it doesn't book and tells the patient to see their doctor.

Questions clinics ask

Does ClaudIA reply to Instagram direct messages? Yes. It handles direct messages on the clinic's account, gives information and books sessions with the real calendar, just like on WhatsApp.

Does it ask for the phone number of a patient who writes on Instagram? Yes, before creating the session: it avoids duplicate records and lets the reminder go out by WhatsApp. The Instagram username is saved in the record.

Can I post photos of patients? Only with their signed consent for that use. In ClaudIA, photos a patient sends are only kept in their record if they have a signed consent.
