A clinic's biggest fear when bringing in an AI assistant is that a patient gets stuck talking to a machine when they needed a person. It's a reasonable fear: old-fashioned automated answering systems have done it many times.
The answer isn't to give up on the assistant, but for it to know when to step aside and for the handover to the team to be done well.
When it should step aside
When the patient asks to speak to someone, when they're upset, when they raise something that isn't scheduling or information (a complaint, a charge they don't recognise, a sensitive case) and when a clinical red flag appears.
In all those cases the right thing is the same: tell the patient that a person from the team will look after them, and make sure that person receives the alert with the reason.
Making sure the handover loses nothing
A well-done handover has three parts: the assistant stops writing in that conversation, the team receives the alert with the reason and a direct link, and the task stays pending until someone resolves it.
What mustn't happen is the assistant carrying on replying while someone from the team is writing, or the alert arriving and being forgotten.
How ClaudIA does it
ClaudIA pauses the conversation, says goodbye kindly and alerts the clinic's phone with the reason. On the phone, it leaves the call marked as pending a callback with the patient's number. Everything stays in the dashboard's notifications bell until someone marks it as done.
And if someone from the team replies from the clinic's phone, ClaudIA stops writing in that conversation. It's switched back on with one click when the team is done.
Questions clinics ask
Can a patient ask to speak to a person? Yes. ClaudIA pauses the conversation and alerts the team with the reason. It doesn't insist or try to hold on to them.
And if someone from the team replies while ClaudIA is active? ClaudIA detects that a person has replied and stops writing in that conversation.
How does the team find out? With an alert to the clinic's phone and a task in the dashboard's notifications bell, with a direct link to the chat or the call.
