A patient CRM in physiotherapy without calling it a CRM

Updated 2026-07-23 · 2 min read

The word CRM is off-putting and sounds like sales software. At a clinic it's something simpler: remembering the things that make a patient feel looked after and let the team work without asking twice.

What does go in the record

Name, phone number, session history, packs and your team's operational notes: «prefers first thing in the morning», «needs an accessible treatment table», «can't climb stairs», «always comes with her daughter». They're about how to treat people and about logistics, and they're what gets lost when someone at the front desk changes.

What does NOT go in it

Clinical history. Assessments, tests, progress notes and reports live in your clinical software. ClaudIA's record holds the relationship, not the medical file.

What it's really for

Three specific things. Letting the assistant know how many sessions are left on a pack without anyone checking. Letting whoever sees someone tomorrow see their preferences before they walk in. And letting you see who often misses appointments without notice, which is a figure almost no clinic has.

And how to use it well

Campaigns are for specific cases you write yourself —a session that's become free, a change of opening hours, a pack about to expire—. At a healthcare centre, what people appreciate is the personal touch, and the record is what makes it possible.

Kept this way, the record isn't extra work for anyone: it fills itself as sessions are booked and notes are added.

Questions clinics ask

Can I import my patients from another program? Yes, from a CSV file, and it removes duplicates on its own: it won't overwrite records you already have.

Does the assistant read the notes? It reads them to look after people better, and doesn't change them. Writing them is your team's job.

Can I export everything if I leave? Yes. It's your data.
